With new triggers, templates, and automated actions, managing estimates is now even simpler. Here’s how you can leverage these updates to boost efficiency.

New in Gold Star Pro Workflows: Estimate Management

Gold Star Pro has added various features for managing estimates, including:

  • Estimate Templates: Create, save, and clone templates to streamline future estimate creation.

  • Enhanced Workflows: Now featuring an Estimates trigger, advanced filters, and an action for sending estimates directly within workflows.

Let’s dive into each of these features and how to use them effectively.

1. Creating an Estimate Template

Estimate templates allow users to design, save, and replicate estimate formats to keep workflows efficient and consistent. Follow these steps to set up an estimate template:

  1. Navigate to the Templates Section
    Go to the
    Templates tab within the Invoices and Estimates section of Gold Star Pro.

  2. Create a New Template
    Click on the
    New Estimate Template button.

    Enter the necessary information for your estimate. Be sure to include all details relevant to your usual estimates to save time later.

    Once your template is complete, save it. This template is now available for future use.

  5. Clone Existing Templates (Optional)
    Need a similar estimate template? Select the template you want to duplicate and click
    Clone. You can now modify and save it as a new template.

With templates, you’ll have all your common estimate formats ready to go, reducing setup time on every new estimate.

2. Automating with the New Estimate Trigger in Workflows

Gold Star Pro has also added a dedicated trigger for estimates within workflows. This enables users to initiate automated actions based on specific estimate events.

To set up an Estimate Trigger in workflows:

  1. Go to the Workflows Section
    Access your workflows by navigating to the
    Workflows section within Gold Star Pro.

  2. Add an Estimate Trigger
    Select the
    Estimates trigger. This will allow you to base workflow actions on estimate events.

    Filters can be applied to target specific estimates based on:

    • Template: Narrow down by the template used.

    • Value: Focus on estimates of a certain monetary value.

    • Status: Target estimates based on their current status, such as "Pending" or "Approved."

Setting up these filters helps customize your workflow to react only to relevant estimates, keeping your process focused and efficient.

3. Sending Estimates Directly via Workflows

One of the most valuable enhancements is the ability to send estimates directly from within a workflow. This feature is ideal for automating the estimate sending process, reducing the need for manual follow-ups.

To enable sending estimates automatically:

  1. Add a Send Estimate Action
    Within your workflow, select the
    Send Estimate action.

  2. Configure Recipients and Template
    Choose the appropriate recipient (client, team member, etc.) and select the specific template you wish to send.

  3. Activate the Workflow
    Once configured, activate the workflow. The estimates will now be sent based on your specified conditions, ensuring timely communication without manual intervention.
